Wildscapes, Norfolk: Terms and Conditions

Agreement Overview

This is a legally binding contract between Wildscapes Norfolk Limited, the property owner, and the holidaymaker. The property owner is also referred to as "we" and "us."

The holidaymaker is the person who signs the booking form or, in the case of an online booking, the person who makes the online payment. This person is responsible for ensuring all members of the holiday party accept and adhere to these terms and conditions. The holidaymaker is also referred to as "you."

These terms apply to all properties at Wildscapes, Norfolk, United Kingdom.

Bookings

Wildscapes handles bookings from persons over 21 years of age. We reserve the right, without giving reasons, to refuse a booking. When you submit your booking through the online reservation system, you will receive an automated booking summary email to the email address provided. Please check the email for any errors. This automated email does not form a contract between you and Wildscapes. Any issues must be notified by email or telephone within 7 days following the receipt of the booking confirmation or before the start of your stay if that occurs within 7 days.

If the booking is more than 35 days away, 30% of the rental charge is taken at the time of booking. If the booking is within 35 days, the full amount is taken. The booking remains provisional until payment is made in full and funds have cleared. Once confirmed, the booking is secure. Until confirmation, the booking can be cancelled at any time without prior notice.

Payments

Visa or Mastercard can pay bookings made online. Payments can also be made over the phone by calling our office.

A 30% deposit is required for bookings made more than 35 days before arrival, and the balance will be automatically collected 35 days before arrival. For bookings made less than 35 days before arrival, the payment will need to be made in full.

Cancellation by the Holidaymaker

We understand that sometimes things don't go quite to plan. If you need to cancel your stay, the following cancellation terms apply:

  • If cancelled more than 5 weeks prior to your stay - you will receive a full credit note or refund for the amount you have paid.

  • If cancelled less than 5 weeks prior but more than 14 days before your stay - we can offer you a 70% refund.

  • If cancelled 14 days or less before your stay - 100% of your booking cost will be retained unless we can resell your dates. In that case, we can offer you a full credit note, but we reserve the right to charge an administrative fee for reselling these dates.

We reserve the right to refuse or cancel any bookings, subject to refunding any sums you have paid without further liability on our behalf.

We cannot accept responsibility or pay any compensation where the holiday provision is prevented or affected by circumstances that amount to “force majeure.” These include any event we could not foresee or avoid, even with all due care. Such circumstances include the destruction or damage of the property through fire, flood, explosion, storm, or other weather damage, break-in, criminal damage, riots or civil strife, industrial action, natural or nuclear disaster, fire, adverse weather conditions, war or threat of war, actual or threatened terrorist activity, epidemic, pandemic, and all similar situations beyond our control. We strongly advise guests to take out holiday cancellation insurance in advance of their trip.

Date Changes

Where possible, we will try to help you change your booking date if you can no longer make it. However, this is entirely at the discretion of our Customer Support team, and if they cannot make a change, the standard cancellation policy will apply. All date changes must be requested more than four weeks before the original booking; otherwise, the standard cancellation policy will apply.

Cancellation by the Property Owner

The property owner will ensure the stated property is available for the dates contracted. In the unlikely event that the property becomes unavailable and the property owner has to cancel the booking, the property owner will attempt to find suitable accommodation for the holidaymaker. The holidaymaker shall be entitled to a full refund if suitable alternative accommodation cannot be found. The property owner shall only be liable for returning the money received. No compensation or consequential losses shall be paid.

Gift Cards

  • A Wildscapes Gift Card is not a cheque, credit, or charge card.

  • The minimum amount required to activate a Wildscapes Gift Card is £50.

  • You may use the Wildscapes Gift Card online at www.wildscapesnorfolk.co.uk only.

  • Gift cards are valid for 12 months from the time of purchase.

  • When you use the Wildscapes Gift Card, the amount of your booking will be deducted from the balance on the card. Any remaining balance may be applied to future bookings or purchases.

  • The Wildscapes Gift Card cannot be redeemed or exchanged for cash or vouchers, and gift card purchases are non-refundable.

  • Wildscapes is not responsible for lost, stolen, or damaged cards or for any unused amounts on those cards.

  • All refunds/cancellations of goods purchased with the Wildscapes Gift Card will be made following Wildscapes’ refund policy. This does not affect your statutory rights.

  • Wildscapes will cancel the value of the gift card if we fail to receive payment from the purchaser's bank or card company for the initial purchase of the card. Further action may be taken where the fraudulent use of a credit card is suspected.

Miscellaneous

Whilst every care is taken to provide a true and accurate description of the property, alterations are made over time, and some things may change. The holidaymaker accepts that no refunds are available for such discrepancies.

The property owner reserves the right to enter the property at a reasonable time in the event of an emergency or remedial repair work being required.

The property owner is entitled to ask the holidaymaker to leave the property without any refund if, in the property owner's opinion, the behaviour of the holidaymaker and/or their party is unacceptable.

The property owner reserves the right to refuse entry to anyone who, in the property owner's opinion, is not suitable or capable of taking charge of the property.

The property owner reserves the right to ask the holidaymaker and their party to leave the property without refund if the owner considers the holidaymaker's and/or their party's behaviour unreasonable.

Occupancy

The maximum number of people entitled to stay at this property is 2, and only those people named on the booking form are entitled to stay. Suppose it is found that more people than agreed are using the property. In that case, this will be considered a breach of contract, and the holidaymaker and their party will be asked to leave immediately without any refund. Sub-letting of the property is prohibited. Unfortunately, we cannot accommodate children under 12 years old due to health and safety, but we are happy to accept “babies in arms”.

Group bookings are accepted entirely at our discretion.

Pets

Prior arrangements can accommodate well-behaved dogs. Due to roaming livestock, they must always be on a lead outside the cabin fencing. We will provide you with a dog bowl, bath, and toiletries for your stay. Please do not leave your pets in the cabin unattended, nor allow them on furnishings. Owners are liable for any damage your dog causes to the cabin or the surrounding farmland and livestock. Please get in touch with us if this occurs. Wildscapes cannot be held responsible for any accident or injury to a pet during their stay.

Arrival and Departure Time

Every effort will be made to have the property available from 16:00 on the day of arrival. The property must be vacated by 10:00 on the day of departure. Late departure will result in an additional charge being made.

Liability

The property owner takes no responsibility for the personal possessions of the holidaymaker or the holidaymaker's party. Vehicles and possessions are left entirely at the risk of the holidaymaker. Wildscapes shall have no liability for any death or personal injury unless this results from Wildscapes' negligence.

Damages / Breakages & Cleaning

We will not take a deposit, but we reserve the right to charge the card on file for any damage or breakage that occurs during your stay. The holidaymaker should make every effort to keep the property, fixtures, fittings, and all contents in the same condition as at the start of the holiday.

The holidaymaker and their party are responsible for leaving the accommodation in good order, clean, tidy, and in the same condition as they found it on arrival. The property owner reserves the right to make an additional charge for cleaning if the property is not left in a similar condition to how it was found at the beginning of the holiday.

Complaints

Every endeavour is made to ensure your stay with us is memorable for all the right reasons. However, we recognise that things do sometimes go wrong. In these circumstances, it is the responsibility of the holidaymaker to make any such problem known to the property owner (or their representative) immediately it becomes apparent, thereby giving the property owner the opportunity to correct the situation. Unless this procedure is followed, no subsequent claim will be entertained.

The property owner will make every effort to rectify any identified problems as soon as is reasonably possible.

Onsite Regulations

In order to make your stay at Wildscapes as pleasant as possible, all guests must adhere to the rules of behaviour listed here, behaving in a considerate and safe manner toward all people and animals onsite. To respect fellow guests, we ask that there be no high noise levels after 9:00 p.m., with all noise to stop by 11:00 p.m. We do not allow amplified music.

The fire pits/BBQs fire bowls must be kept within the designated areas and at a minimum of 1 metre from your accommodation, and only wood provided by us can be used for wood-burning stoves/fire bowls. Fireworks and sky lanterns are not allowed, as they pose a risk of fire and are a danger to livestock.

If the Site Regulations are breached, in serious circumstances, we may ask you to terminate your stay without a refund.

Please note that essential maintenance activities may be carried out on or in the accommodation during your stay without you being entitled to any compensation.

We hope you love the natural environment as much as we do! We ask that you consider the Countryside Code, including the following:

  • Leave gates as you find them, closing a gate if found closed.

  • Keep to public footpaths.

  • Do not walk across crops (this includes long grass).

  • Leave no trace on the land. We provide a variety of bins in your accommodation. Our labelled bin system offers recycling opportunities, and we are a zero-to-landfill site, so our rubbish is handpicked for sorting. Please be considerate in how you dispose of unpleasant items.

No Smoking Policy

The cabins are NO SMOKING PROPERTIES. Smoking is strictly prohibited inside the cabins. Failure to comply will result in an additional fee of £400 to cover deep cleaning and redecoration. Any guests smoking outside of the cabin are responsible for disposing of their cigarette butts in a bin and must not litter the surrounding area.

Personal Details

Wildscapes will need the guest's information about the party to process the booking. This information may be used solely by Wildscapes for administration purposes and for sending the guest future promotional or marketing literature. Any information will remain confidential and is protected under the Data Protection Act 1998.

Law

English Law governs the contract between the guest and Wildscapes. Any dispute the guest has with Wildscapes shall be dealt with in an English Court of Law.
